First - Their Approach

Most small and medium sized businesses that supplement their IT with external professionals pay for their IT services in one of two ways:

  • Pay as you go (time and materials) – With this approach there is often very little scheduled or proactive work done and time is spent fire fighting and putting band aids on problems. This usually leads to an unstable or insecure network which negatively impacts employee productivity and, ultimately, profitability. With this approach there is little planning or budgeting and invoices tend to fluctuate widely on a month to month basis, making these types of activities hard to predict.
  • Fixed cost (managed services plan) – This typically includes an unclear set of products and services provided at a fixed monthly cost under the moniker of an “all you can eat” offering. While these plans can provide a proactive approach to IT service they usually end up with one or both of the parties unhappy. Either the client feels they are not getting the value for the amount they are paying or the provider feels like they are spending more time than they can afford to for the contracted amount. Ultimately, these plans tend to incent the provider to minimize the time spent providing services in order to increase their margins as the revenue they receive is capped but the service level is not.

Our labor is covered by simple pre-paid blocks of time that you can use on a monthly basis. We work with you to set the appropriate budget that allows us to be both proactive and systematic in our support while providing clear visibility and flexibility of the services you receive.

Our consultants map out your service requirements, ranging from annual planning and budgeting to regular weekly on-site visits based upon the needs of your business.  This results in a straight forward estimate for the monthly labor to support your business.

Next, we identify the products you need, which are also billed monthly, and calculate the total budget for IT support and services. This enables you to budget for your IT services, while maintaining the ability to ratchet them up or down as you need to. We will review your service usage with you on a quarterly basis and make adjustments as needed.

There are a number of advantages to this approach over either of the other solutions, truly providing a “best of both worlds” offer:

  • Cost Savings - You will receive a discount on any service billed against a block. You also benefit immediately and directly from our teams’ increased efficiency from training, process improvements, or tools investments we make.
  • Simpler Budgeting - You will receive a regular monthly invoice for the budgeted amount. We also work with you to prepare an annual capital budget to complete the total picture of your IT expenses.
  • Flexibility - If you use less hours one month then you don’t lose out, the hours remain available on your block. We review your needs on a quarterly basis and adjust the plan accordingly.
  • Transparency - We account for the services (and their value) on an hour by hour basis. You have visibility into the work performed and the cost of that work on an hour by hour basis.
